Art placement request

Grenfell Art Gallery is charged with the care of Memorial University’s Art Collection, an active collection of contemporary and historical art, specializing in, but not limited to, the art of Newfoundland and Labrador. This collection is an invaluable resource for exhibition, programming, and research, held in public trust honouring the special obligation of Memorial University to the people of Newfoundland and Labrador. Grenfell Art Gallery’s care and stewardship of the Memorial University Art Collection, including temporary loans and art placement, is governed by Memorial University’s Art Collection Policy (https://www.mun.ca/policy/browse/policies/view.php?policy=337). Displays on Memorial Campuses are intended to increase accessibility to the University’s collection without jeopardizing its condition or security.

Emphasis is placed on collection display in publicly accessible areas and general offices of the University. All loans are subject to considerations of the vulnerability and conservation concerns of each individual artwork (i.e., factors such as light levels, exposure to natural light, food service, and the location of heaters in an office area may dictate the artwork(s) suitable for that location). There are also occasions when other galleries and museums request loans from Grenfell Art Gallery’s collection, as such all artwork on loan is subject to recall for the duration of an exhibition or loan.

Permanent Collection works are made available for display in the campus offices of University staff and faculty, subject to the conditions designed to protect the works, including the following:

Loan Terms & Conditions

1. Gallery staff, trained in proper handling of works and in the assessment of such environmental risks as light and humidity install all Permanent Collection works. These must not be moved within the room or to another room except by Gallery staff. (The borrower may straighten the work if it becomes crooked but may not alter picture hooks or wires.)

2. The Borrower will advise the Gallery of any condition that may endanger the work – for example, painting being carried out in the office.

3. The Borrower must advise the Gallery if they are vacating the office. Otherwise the work will continue to be recorded as in the Borrower’s care.

4. This Loan is made on the condition that the Borrower is formally and contractually associated with Memorial University.

5. The Gallery reserves the right to withdraw the Loaned Object(s) from public placement at any time if required for exhibition, for teaching and research, for institutional loan, and/or for preventative conservation.

6. The Gallery will complete a condition report(s) of the Loaned Object(s), identifying any objects not in good condition prior to delivery. An additional condition report(s) will be completed at the end of the Placement Term, prior to the withdrawal of the Loaned Object(s).

7. The Borrower will be responsible for any extra costs associated with installation.

8. The Borrower is responsible for the security of the Loaned Object(s) for the duration of the Placement Term, from the time it arrives at the location(s) stipulated in this agreement until the time it is removed by the Gallery.

9. Changes in the condition of, or damages of any kind to the Loaned Object(s), regardless of circumstances or responsibility, shall be reported immediately to the Gallery.

10. The Gallery will provide insurance coverage on the Loaned Object(s), under the Memorial University Fine Art policy.
